Before Mobilization

The superintendent is the person who knows whether the site is genuinely ready. A short conversation before mobilization — are the dusty trades done, is the space clear, are power and lighting on, is vertical access available — prevents most wasted trips.

Scope should be confirmed in writing at this stage, including the items most often disputed: elevated work, exterior glass, mechanical rooms, and protection removal.

Access and Site Rules

Gate codes, badging, parking, loading, approved hours, and any site-specific safety instructions should be provided before job day. On occupied or secure sites, escort and authorization requirements need arranging in advance.

Cleaning crews follow the site rules supplied by the contractor. Where a site has specific containment, PPE, or restricted-area requirements, providing them with the scope lets the work be planned around them properly.

During the Work

A single point of contact who can answer scope questions keeps the crew productive. Questions arise — whether a particular room is included, whether protection should come up, whether a trade will return — and a crew waiting for an answer is losing time that was priced into the schedule.

Where trades are still active, agreeing a zone map beats improvising. It lets completed areas be cleaned and protected while work continues elsewhere.

At Completion

A walkthrough against the written scope, with the person authorized to approve, is the right closeout. Identifying punch items in one pass rather than piecemeal lets corrections be handled efficiently.

Agreeing what documentation goes into the closeout package — and providing it — closes the loop for the project file.

What Makes Coordination Fail

The recurring causes are scope assumed rather than written, cleaning scheduled before trades finish, no named approver, and site access that was never confirmed. All four are avoidable with a short conversation before the crew mobilizes.
