How to Request an Accurate Cleaning Estimate

What information a commercial cleaning contractor needs to produce a reliable post-construction estimate — and why vague requests produce vague numbers.

Short answer: An accurate post-construction cleaning estimate requires building type, location, approximate square footage, current project stage, finish types, target date, and any access or phasing constraints. Estimates given without that information are guesses that tend to change once the crew arrives.

The Core Information

Building type and address establish the work's character and travel. Approximate square footage sets scale — a rough figure is fine, and areas by floor or zone are better than one total.

Current project stage tells us how much trade work remains and therefore how much dust is still coming. Target date tells us whether the schedule is comfortable or compressed, which affects crew planning more than most contractors expect.

Details That Materially Change the Number

Finish types — flooring systems, extent of glazing, stone or specialty surfaces — change both method and duration. Ceiling height and any elevated work requiring lifts add equipment and time.

Access constraints matter enormously in occupied buildings: freight-elevator windows, approved hours, parking, and loading. Phasing requirements should be stated up front, since a phased clean is priced differently from a single visit.

What Helps Even More

A floor plan, a short walkthrough video, or a handful of photographs of current conditions will produce a materially better estimate than a written description alone. Dust load is difficult to convey in words and immediately obvious in a photo.

If a written scope already exists — from the spec, the owner, or a previous contractor — share it. Estimating against a defined scope removes most of the ambiguity that causes disputes later.

Questions Worth Asking in Return

Ask what is included and what is excluded, in writing. Ask how elevated work, exterior glass, and mechanical rooms are treated. Ask what happens if the schedule compresses or trades run late, and how punch-list touch-ups are handled.

Ask what documentation you will receive at completion for your closeout package.

Why Fixed Published Pricing Is Rare

Published per-square-foot pricing is unreliable in this trade because condition, finishes, access, and phasing move the real number substantially. A quote built on your project's actual variables is more useful than a rate that will not survive the site visit.

Frequently Asked Questions

Can I get an estimate without a site visit?
Often yes, particularly with a floor plan, photos, or video. A site visit remains the most accurate route on complex or large projects.
What if my square footage is only approximate?
Approximate is fine to start. Estimates are refined as the figure firms up, and area by floor or zone helps more than a single total.
How far ahead should I request an estimate?
As soon as the completion window is roughly known. Early requests protect availability, particularly at quarter-end and in summer.
